There may be times when you want to invite existing customers or leads to schedule one-on-one meetings with members of your team. This is how to leverage Attendease to host these types of meetings.
How to set up an event for one-on-one meetings
The following section details how to use the Attendease platform to best configure your one-on-one meeting event. Add meeting hosts, meeting times, and filters to allow attendees to easily find time slots they want to book.
Note: Whether or not your one-on-one meeting event is held in conjunction with another event, such as a conference, it must be created as a separate event used only for the one-on-one meetings.
Add meeting hosts on the Speakers screen
Every person that attendees are able to book meetings with - referred to here as meeting hosts - should be added as a speaker. Do this by going to the Scheduling tab and selecting the Speakers menu item. Click here to learn more about the Speakers screen.
Set up Filters to allow attendees to easily search for sessions
With filters, you are able to label and categorize sessions - and then allow attendees to use these filters to search among sessions. Use filters with one-on-one meetings to make it easy for attendees to sort available meetings by e.g. the person they want to have a meeting with, the department associated with the meeting host, or however else you want attendees to be able to sort sessions. For each of the meeting hosts create one session - we suggest that the name of the session contains the meeting host's name. In below example, each session is named "Meet with [name of meeting host]." Click here to learn more about sessions.
Once the session has been created scroll down to find the "Scheduling" section on the "Details" tab. From the "Maximum number of instances for this session that each attendee can schedule for" drop-down menu select "1." This will ensure that attendees can schedule only one session with each meeting host.
In the "Speaker" section right below add the meeting host as a speaker. If you are using filters, select which filters to apply to this session in the "Filter" section.
In above example, I have added Breanna Broughton as the speaker, as she is the meeting host. Her position is as the CEO of the company, so I have added the "Executive team" filter item from the "Department" filter, and "Breanna Broughton" filter item from the "Meeting Host" filter.
Schedule meeting times
Note: On the Venues / Rooms screen you must set the capacity of each room as 1. This prevents multiple people from booking the same meeting.
If you want to limit who is able to register for your event we suggest that you use Private Invitations. This means that only people who receive a direct invitation are able to book a one-on-one meetings.
Attendee experience of one-on-one meeting event
Once an attendee has registered they will be able to book a meeting (i.e. register for a session). If you have configured the event according to above steps they will only be able to register for one session with each meeting host. This prevents one person from booking up multiple meeting slots with one of your team members.
Using the filter functionality the attendee is able to quickly configure the meeting times listing to see only the relevant people for them. See below for an example of how filtering works.
